Making Sense of the Gift Aid Spreadsheet

Where do I Find the Gift Aid spreadsheet?

While Donr does not make Gift Aid claims from HMRC on behalf of our Charity Partners. We can, and do, take Gift Aid declaration information from supporters on behalf of our Charity Partners so that they can make the claim themselves.

This information can be found, and downloaded, in the Gift Aid section of the Donr Dashboard. It is sorted by campaign and by month. The blue ‘CSV’ button allows you to download a spreadsheet of the information you’ve currently called up on your screen. For instance, if you have 25 active campaigns with Donr and want to see all information on all of the Gift Aid declarations made by your supporters in the calendar month of May 2019, simply click ‘Select all’ in the ‘Sort by Campaign’ drop-down menu, select ‘May 2019’ from the ‘Sort by Month’ drop-down menu and click ‘Filter.’

This will display the information you’re looking for on-screen then, when you click the blue ‘CSV’ button, the same information will be downloaded to your computer in the form of a CSV spreadsheet (you can export this into an MS Excel spreadsheet by clicking ‘save as’ and changing the file type).

What am I Looking At?

The Gift Aid spreadsheet will be organised into the following columns:

Accountid: a reference number to help Donr’s Tech team identify this declaration, in case of any technical issues

Campaignid: a second reference number to help Donr’s Tech team identify this declaration, in case of any technical issues

First name: the supporter’s first name

Surname: the supporter’s surname

Address 1: the first line of the supporter’s address

Address 2: the second line of the supporter’s address

City: the town/city line of the supporter’s address

Postcode: the supporter’s post code

Amount: the amount donated

Gift Aid claim: the amount that can be claimed in Gift Aid from the supporter’s donation

Bill method: the method used to make the donation

Bill route: the mobile network/card payment provider used to make the donation

Logged: the date and time the donation was made.

Yyyymmdd: the date the donation was made.

Please note, unless you have certain permissions, some of the information in the spreadsheet may be partially redacted. Please see this FAQ to learn how to gain appropriate user permissions to allow you to see full, non-redacted information on your organisation’s donations.
